Margaret Thompson Medical Centre is the Data Controller for the personal information you provide as part of your job application.

As part of the recruitment process, we may collect and process the following information about applicants:
- Name, address and contact details
- Employment history, skills, qualifications and training records
- Application forms, CVs and covering letters
- References from previous employers
- Proof of identity and right to work documentation
- Disclosure and Barring Service (DBS) information where required for the role
- Equality, diversity and inclusion monitoring information
- Occupational health information where relevant to the role
- Any other information provided during the application and interview process
How We Use Your Information

Lawful Basis for Processing
We process your personal information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The lawful bases for processing applicant information are:
- Article 6(1)(b) – Processing is necessary to take steps at your request before entering into an employment contract.
- Article 6(1)(c) – Processing is necessary for compliance with a legal obligation.
- Article 6(1)(e) – Processing is necessary for the performance of a task carried out in the public interest.
Where we process special category data, such as health information, we do so in accordance with Article 9 UK GDPR and the Data Protection Act 2018.

Your information may be shared with:
- NHS Jobs
- Disclosure and Barring Service (DBS)
- Occupational Health providers
- Referees you have nominated
- NHS England and other regulatory bodies where required by law
- Third-party IT and recruitment system providers acting on our behalf
We will only share information where necessary and will never sell your personal information to third parties.
How Long We Keep Your Information
Recruitment records are retained in accordance with the NHS Records Management Code of Practice and local retention schedules.
If your application is unsuccessful, your information will only be kept for as long as necessary to meet recruitment, legal and regulatory requirements, after which it will be securely destroyed.
If your application is successful, relevant information collected during the recruitment process will become part of your employee record.
Your Rights
Under data protection law, you have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request erasure of your personal information in certain circumstances
- Request restriction of processing in certain circumstances
- Object to processing where applicable
- Lodge a complaint with the Information Commissioner's Office (ICO)

Main Improvements Made
- Changed all wording to address applicants directly ("you", "your application") rather than referring to applicants in the third person.
- Removed the internal NHS Jobs submission instructions, which should not appear on a public website.
- Simplified and modernised the language to make it easier for applicants to understand.
- Added a statement explaining that successful applicants' recruitment information will form part of their employment record.
- Improved readability with website-friendly headings and structure.
